Document management, often referred to as Document Management System (DocMS), is the use of a computer system and software to store, manage, modify and track electronic documents and electronic images of paper-based information captured using a document scanner.
The term document is defined as "recorded information or an object which can be treated as a unit". Document management systems today range in size and scope from small, stand-alone system to large scale enterprise-wide configurations serving a global audience.
The computer system is made up of the computer, printer and scanner.
The software is made up of the Rex application, PDF application and scanner capture software.
Rex Application: This software houses all the documents and helps manage, modify, organize and track all the documents in the system.
PDF Application: PDF (Portable Document Format) is a file format developed by Adobe as a means of distributing compact, platform-independent documents. It may contain images and text, as well as hyperlinks. However, as PDF is based on a variant of PostScript, each document is self-contained, packing, text, graphic and fonts in a single file. The goal of the format is to make possible the hardware-independent interchange of high-resolution documents - documents that may contain text, graphics, multimedia elements, and/or custom data types, plus (optionally) links to other files or URLs containing such items. The format supports text search, random access of data, bookmarks, links, annotations, interactive page elements (checkboxes, text-edit fields, etc.), encryption, compression, JavaScript actions, and much more.
There is no explicit page number limit but there is a limit on indirect objects (An indirect object is a numbered object. The content can be any kind of native PDF object (Boolean, number, name, string, etc.)) of 8,388,607 in a 32-bit PDF rendering application-Acrobat and Adobe Reader are both 32-bit code and because each page consumes at least one indirect object, every PDF file created by or opened by Acrobat must have less pages than that. Architecturally there is only one limit in the PDF standard: the overall file size must be below ≈10GB as the cross-reference tables which define the PDF structure use 10 bits.
The limit is in a useful content and ease to use. It is a lot simpler to create a sequence of PDFs and link them. For a book, it might be by chapter, for archived documents, it might be by month or such. In any case, huge documents become useless fast, even if it is technically possible to make it that large.
Scanner Capture Software: It enables the scanner to "talk or communicate" to centralized imaging system.
It fits into different levels of computing environment, whether single user or Client – Server Installations for networked environment thereby providing a solution for both small and large-scale corporate bodies.
